TaxNoticePilot (“TaxNoticePilot,” “we,” “us,” or “our”) provides an online service that helps taxpayers and tax professionals analyze IRS and state tax notices, identify deadlines, and generate structured response workflows. We understand that the documents you upload are sensitive, and we treat your privacy as a core part of the product. This Privacy Policy describes what we collect, why we collect it, and the choices you have.

  • Account information. Your name, email address, and authentication details when you create an account or join a waitlist.
  • Notice content. The PDFs, images, and text you upload for analysis, along with extracted fields such as agency, tax period, notice date, amounts, and deadlines.
  • Case data. Risk scores, classifications, recommended next steps, and any notes or status changes you save to a case.
  • Billing information. Payment details handled by our payment processor (Stripe). We do not store full card numbers on our servers.
  • Usage data. Device, browser, IP address, and interaction events used to keep the service reliable and secure.

3. How We Use Your Information

We use the information we collect to:

  • Process uploaded notices, extract structured facts, and produce the analysis, risk score, and recommended next steps you requested.
  • Create and manage your account, cases, deadlines, and reminders.
  • Process payments and provide receipts.

  • Communicate with you about your account, product updates, and support requests.
  • Improve accuracy and reliability of notice extraction, classification, and risk scoring in aggregate, de-identified form.

  • Service providers that host our infrastructure, process payments, send email, perform OCR, or power AI-assisted extraction. These providers are bound by contractual obligations to handle your data securely and only for the purposes we specify.
  • Your designated tax professional when you explicitly choose to share a case from your account.
  • Authorities when required to comply with a valid legal process or to protect the rights, safety, or property of users and the public.

5. Data Retention

We retain account, case, and notice data for as long as your account is active or as needed to provide the service. You may request deletion of individual cases or your entire account at any time by contacting us. Some records may be retained for a limited period to satisfy legal, accounting, or fraud-prevention obligations.

6. Security

We use industry-standard safeguards — including encryption in transit, access controls, and isolated storage — to protect the documents and case data you entrust to us. No system is perfectly secure, but we work to keep the risk of unauthorized access low and to respond quickly if an issue is detected.

Depending on where you live, you may have the right to access, correct, export, or delete the personal information we hold about you, and to object to or restrict certain processing.
